Gleam Galleries App Updates

Giveaway Playbooks: 10 Free Tools to Plan, Fix and Launch

We've launched Playbooks: a free set of interactive tools that turn "how do I run a better giveaway?" into a specific answer in under a minute. No account needed 🎉

Every giveaway comes down to small decisions: which product to use, how to weight your entries, why entries have stalled, whether you're ready to launch. Each Playbook asks you a few quick questions and hands back a plan, a fix or a checklist built for exactly where you're at, grounded in what actually works across thousands of Gleam campaigns. Here's the full set:

Find Your Right Product playbook

Gleam has four products (Competitions, Rewards, Captures and Galleries), and picking the wrong one is the quiet reason a lot of campaigns underperform. If you're not sure whether your goal is to grow an audience, reward loyal customers, capture leads or showcase content, it's easy to default to the wrong tool and then fight it the whole way through.

This Playbook asks you two quick questions about what you're trying to achieve and points you straight to the product built for it. No feature-comparison tables, no second-guessing, just a clear starting point so you set up the right campaign the first time.

Score Your Giveaway playbook

A giveaway can look busy and still not grow anything. Entries trickle in, sharing stays flat, and you're left guessing which part is actually holding you back: the prize, the entry actions, the timing or the way it's being promoted.

Score Your Giveaway grades your setup and shows you exactly what's affecting your results, then gives you the specific fixes that move the needle. You leave with a clear score and a short list of changes to make, not a vague instruction to "make it more viral."

Giveaway Legal Guide playbook

Giveaway rules vary a lot by country and platform (for example they even vary by State in the USA), and getting them wrong is more than a technicality. It can get your promotion pulled, your account flagged, or your winners disqualified. Most people either copy someone else's terms or skip them entirely and hope for the best.

This guide checks exactly what your terms and conditions need to include for where you're running: eligibility, prize disclosure, platform requirements and the clauses you can't leave out. It turns an intimidating legal grey area into a clear checklist, so you launch compliant and protected.

Giveaway Post-Mortem playbook

Most giveaways end and everyone moves straight on to the next thing, which is exactly how the same mistakes get repeated. The lessons are sitting right there in your results, but without a framework it's hard to pull them out and act on them.

The Post-Mortem walks you through a structured debrief of a finished campaign (what worked, what didn't, and why) and turns it into concrete changes for next time. Every giveaway becomes a step up instead of a one-off you forget about.

Your Giveaway Calendar playbook

The best giveaways are planned, not thrown together the week before. Miss the lead time you need for prizes, promotion and approvals and you end up launching flat, or scrambling at the last minute and cutting corners.

This Playbook builds you a dated 12-month plan with planning and launch deadlines already built in around the moments that matter to your audience. You get a realistic schedule you can work backwards from, so nothing important gets rushed or skipped.

Why Is Nobody Entering playbook

There's nothing more stressful than a live campaign that isn't converting. The clock is running, the numbers are flat, and panic-tweaking settings usually makes things worse rather than better.

Answer a few questions about your live giveaway and this Playbook diagnoses the most likely cause (prize fit, entry friction, traffic or timing) and hands you a specific action plan to turn it around while it's still running. Think of it as triage for a campaign that's underperforming.

Optimise Your Entry Actions playbook

Entry actions are where a giveaway either grows or stalls. Offer too few and there's no real reason for people to share; add too many, or weight them wrong, and entrants bounce before they finish.

This Playbook shows you which actions to add for your specific goal and exactly how to weight them, so you reward the behaviour that actually grows your audience (follows, referrals, email sign-ups) without overwhelming people. You end up with a balanced setup that drives real growth, not just empty clicks.

Gleam vs Doing It Manually playbook

Running a giveaway by hand (collecting entries in a spreadsheet, verifying actions, drawing a winner yourself) feels free right up until you count the hours and the risk of getting it wrong. It's the hidden cost most people never add up.

This Playbook lays out exactly what changes when you switch to Gleam: the time you get back, the fraud and manual errors you avoid, and the entry methods you simply can't run on your own. It's an honest side-by-side so you can see where the tool earns its place.

Ads vs Giveaways playbook

Paid ads and giveaways both buy you leads, but at very different real costs, and most people never actually put the two side by side. It's easy to keep pouring budget into ads simply because it's the default.

This calculator works out your true cost per lead for each, factoring in prize, spend and expected results, so you can see which channel gets you more for your budget. You make the call with real numbers instead of gut feel.

Ready to Launch playbook

The moment right before launch is where small oversights turn into live problems: a broken link, a missing rule, an entry method that quietly doesn't fire. By the time you notice, entrants have already hit it.

This Launch Playbook runs a 10-point pre-launch check across the things that most often go wrong and gives you a fix list for anything you're missing. You hit publish knowing your giveaway is set up to succeed, not just hoping it is.

Whether you're planning your first giveaway or rescuing one that's already live, there's a Playbook for exactly where you are right now.

Changes to Facebook Imports

Due to recent API changes from Facebook, the Facebook Post to Page import source will now be replaced with Facebook Page Mentions.

This change will affect Competition users who are importing Facebook Posts as entries, or Gallery users who are importing images or videos posted on their Facebook Page to a gallery.

The replacement feature allows you to import Facebook posts which mention a specific Facebook page you manage. You can also filter posts based on specified hashtags.

This means that rather than having Facebook users post on the Facebook Page you manage, from now on they will have to mention your Page and post on their own feed. Then, you can import these posts automatically to Competitions or Galleries as usual.

Improvements for Instagram Stories

Instagram Stories imported from your Instagram Business account will now be displayed in a carousel if they are posted within the same day. This allows you to display Instagram Stories with better context if they are promoting the same campaign on a particular day.

The carousel mode also resembles Instagram's design so that users can feel familiar while interacting with your Gallery.

The Instagram Stories posted on the same day can still be moderated individually. If the first Story imported for a particular day is rejected, the next approved Story will take its place in the carousel.

Gallery Templates Are Now Available

We Now Support Instagram Reels Import

Instagram Reels API has been released on the Instagram platform, which means we can now query for Reels while selecting media from Instagram Accounts, or from #hashtags.

This new import source is available for our following apps:

  • Submit Media for Competitions & Rewards: Entrants can select Reels from their account to submit to your campaign. Available on the Competitions Pro plan and above.
  • Import Action for Competitions: You can now import Reels from entrants to enter your Competitions, for example, while running video contests. Available on the Competitions/Rewards Pro plan and above.
  • Instagram Import Source for Galleries: You can now import Reels into your Galleries using the profile, mentions, and #hashtag import sources for Instagram. Available on all Gallery plans.

New Import Source for Galleries / Minimum Age Field Improvements for Competitions & Rewards

You can now import Stories into Galleries using the new Instagram Stories import source. Galleries will automatically stay in sync with stories you post on Instagram, and once you import them into Galleries they won't disappear after 24 hours.

Gleam Galleries featuring Instagram Story imports for a makeup brand Gleam Galleries featuring Instagram Story imports for a lifestyle brand

This feature is fantastic for repurposing content you post on Instagram Stories. You can easily import specific stories and build customised Galleries for showcasing your promotions, tutorials, reviews, customer testimonials and even micro-blog posts.

We've made some improvements to the Minimum Age field for you and your entrants. Previously, you had to select a minimum age & date format from one of our dropdown options. Now you can just enter the minimum age your campaign requires.

As for your entrants, we now automatically configure the Date of Birth field based on their region. You can now allow entrants to enter their date of birth in US or UK format with clearly defined day, month and year fields or have your entrants declare their age with a simple checkbox.

Update: Improvements to the User Details field in Gleam widget

Improved Filters For Import Actions

Today, we've rolled out improvements to filtering on Import Actions.

Every Import Action now has consistent filtering for both #hashtags and words, this change is designed to help save time and reduce manual combing through imports alongside the ability to be more flexible in the types of campaigns you can run using Imports:

Improved Gallery + Media Exports

You can now export your collected UGC from the Gallery or from campaigns by using the Media Export button next to Export on the Actions tab in Competitions or Rewards or in the Approved/Rejected/Pending tabs within Gallery.

Update: Improved Export feature for your Gleam Gallery items

Large exports will turn into a background task and email you when completed.

Hashtag/Word Filters For Instagram Imports

You can now filter Instagram @mention imports by #hashtags or words for:

Filter your Instagram @mention imports through hashtag or word filters

This means that you can filter imports so only posts that both @mention your Business and contain a specified #hashtag or word will be accepted into your Competition or Gallery.

Using Instagram @mention imports with #hashtag filters is the recomended approach to running hashtag campaigns on Instagram. This is because when you import media from users who @mention your Business you will be able to see their @username and a timestamp without having to click through to Instagram.

Instagram Comment Imports now allow you to filter comments by #hashtag or words.

Filter your Instagram comment imports through hashtag or word filters

With this feature you can filter imports so only comments that contain a specified #hashtag or word are accepted into your Competition. This is a great way to ensure that you are only accepting relevant, compliant comments into your campaigns.

Instagram Comment Import Action

You can now import Instagram comments into your campaign using the Instagram Comment Import Action.

This action allows you to easily run Instagram comment contests without requiring users to navigate away from Instagram.

Instagram Comment Imports are available on the Business plan and above

Instagram @mentions Support

We now support Instagram @mentions for both Competitions and Galleries, once setup this will monitor new Mentions for your selected Accounts.

Please note this only works for Media that @mentions and does not pull in Mentions in comments.

We've improved sorting options for Galleries and now allow you to "Sort by Random" which can remove potential skew for Voting based campaigns.

Gallery Embeds

We've added a new sharing type to Galleries which allows brands or users to embed their submissions on any page that supports HTML.

One use case for this would be allowing influencers to write posts around their submission and allow voting on their submission from within the post.

YouTube Comment Import / Submit URL Improvements

We've added the ability to import comments from your YouTube videos to our Import Actions.

Admin view for YouTube Comment import action on Gleam.io

The Submit URL action now allows for unique or duplicate URLs to be submitted, so if you want a lot of users to submit the same URL you have that option now ☺️

Some Minor Fixes / Improvements

  • Copying a campaign now copies Setup + Prize details to assist with faster duplication
  • Gallery timestamps now reflect user location when displaying date
  • Improvements to WYSIWYG editor when copying/pasting
  • Improvements to Actions Required, if used on the Viral Share action if there's a limit set then the user must refer that number of users for it to be considered part of the Actions Required limit (if no limit then it counts as 1 after the first referral towards Actions Required)
  • Stop daily actions showing total in some cases to avoid confusion in awarded entry amount

YouTube Comments Bug

We've become aware of a bug with YouTube comments over the last 24 hours that is resulting in any comments made via the YouTube API to disappear after a few hours.

We're not sure if this is simply a display issue or if the comments are gone. We've filed a bug report with Google, other API users are also having the same issue so we hope this gets resolved quickly by them.

Please note that even though these comments aren't visible on the videos, the entries are still valid for users that completed this action.

Gallery Presentation Mode

Today, we've released a new feature for Business customers on our Gallery plan.

When your Gallery is Fullscreen you have the ability to automatically switch between approved media within a given timeframe, you can enable this by turning on Presentation Mode in the Advanced tab.

This update also features:

  • Scroll to preview will move the background Gallery to where the image is located when showing it

  • On Load
  • On Vote

This provides an easy way for you to collect email addresses for marketing purposes when using Galleries.

We've released a new Premium feature for Captures which allows you to dynamically control the text in a Capture with variables from your page.

New Feature: Show dynamic text from your website in Gleam Capture

Import Actions Launched

For some time now we've allowed you to import #hashtags via the Select actions for Facebook/Twitter & Instagram. We've long felt like this was an awkward way to do things and have longed to improve this for quite some time.

Well, that time has come!

Import sources are designed to allow you to bring data into your campaign from external sources, we all know how difficult it can be to manage a campaign when you're collecting data or asking users to do something that doesn't involve the Gleam widget directly.

Today, we're super excited to launch Import Actions as a completely new and separate Action type which you'll see when setting up a Competition.

New Feature: Import Actions for Gleam Competitions

Here's what's new + what's changed:

  • Select Actions are no longer used to setup Imports (yay!)
  • Imports currently only support Images or Videos
  • You can now import from Facebook Comments, Facebook Posts to Page, Instagram #hashtags, Instagram Locations, Tumblr #hashtags, Twitter #hashtags & YouTube #hashtags
  • A number of the sources allow you to filter imports that only contain certain #hashtags
  • Facebook Import Sources now require authenication (due to API changes), if you were using this previously you'll need to setup this action again
  • Business plans will pull up to 500 historical imports then up to 250 per hour
  • Premium plans will pull up to 1000 historical imports then up to 250 per hour
  • Imports will respect the Start + End dates of your campaign
  • You can setup a campaign to only import from an Import source (without the need to use the widget at all)
  • Higher level plans can connect multiple campaigns to a Gallery
  • We've got more import sources in the works 👋

Gallery Voting Updates

Today we've pushed out the first in a round of changes to help improve the frontend and backend voting experience for campaigns.

We've removed the IP/Session selection on voting and added:

  • Anonymous: Allows users to vote on Galleries without logging in
  • Social Login: Requires users to connect Facebook to vote, this will also capture their Name/Email address

There's also a number of other features we've rolled out in the backend:

  • There's now a voting tab so you can see what's being voted on in real-time
  • Votes are now subject to our Fraud Filtering rules (similar to those on Competitions) to better protect your campaigns, this is something we'll be continually tweaking as we see the data
  • Gallery items can now be filtered by type, date range and full text search - making it easier for you to filter and view your content
  • Gallery language can now be chosen (and overriden from within the Gallery)

Gallery Leaderboard Improvement

The Leaderboard on Gallery will now continue to show even if you disable voting.
